Job Description

Location: Goleta California Security Clearance: None / Not Required Raytheon Vision Systems, located in Goleta, CA, is seeking a proven, high performing administrative professional to fill a key Senior Administrative Specialist role. The opportunity will be primarily supporting the General Manager, the Controller, and their teams.

In this dynamic and fast-paced role you will partner and collaborate with other Administrative Assistants, business leaders, and cohorts across the country to understand and execute business priorities in a proactive manner. The ability to build relationships, exercise good judgement and work across the Raytheon matrix is critical. The successful candidate will demonstrate an understanding of how the Senior Administrative Specialist role can support business operations performance.

The successful candidate will support all daily business administrative and coordination responsibilities, including supporting the preparation of presentations and reports, arranging meetings, tracking expenses and arranging travel (domestic and international), management of calendar, interfacing with external customers, providing coverage for Administrative Assistants within the RVS Leadership team and performing special assignments as required. The individual will manage communications (telephone, email, instant messaging, etc.) and perform other administrative tasks as necessary to promote effective and efficient operation of the department. The most qualified candidate must have the ability to understand the workflow of the organization and add value by being able to prioritize meeting requests and respond to phone calls on behalf of the General Manager, the Controller and their teams.

Responsibilities include:
  • Attend calls and meetings; capture actions and maintain action list to ensure follow up
  • Coordinate materials prior to meetings and ensure pre-briefs are set up prior to, when appropriate
  • Proactively identify ways to enable greater productivity and efficiency in role
  • Accurately generate charts, tables, emails, reports, correspondence and other materials in a timely manner
  • Coordinate travel arrangements and prepare expense reports
  • Coordinate employee engagement meetings
  • Calendar Management
  • Establish follow-up system to ensure deadlines are met
  • Coordinate monthly reports
  • Assist in directing work, assigning and outlining tasks
  • Establish detailed knowledge of the Corporate and Raytheon Vision Systems Leadership Teams members and locations
  • Ability to work overtime as required

Required Skillset:
  • Demonstrated proficiency with Microsoft office suite tools (MS Outlook, MS Word, Power Point, Excel)
  • Experience with calendar management, meeting scheduling and coordination, planning events, expense reports, and data reports
  • Experience in planning and coordinating complex international travel
  • Possess professional presence and phone/reception skills
  • Demonstrated excellent verbal and written communications skills
  • Professionalism, Discretion and Sensitivity
  • Basic proof reading and summarizing monthly reports and meeting minutes
  • Ability to work proactively, anticipating needs and suggesting assistance to improve executives’ productivity

Desired Skillset:
  • Demonstrated experience with handling confidential and non-routine information
  • Demonstrated experience interacting with senior levels of leadership effectively
  • Demonstrated experience handling multiple tasks concurrently, prioritizing work, and making quick decisions in a fast-paced environment

Required Education: High School Diploma (or equivalent) with 8+years of professional administrative experience supporting senior leaders in a large organization

Desired Education: College degree or Certificate in applicable field of study
